Comments and Forum Posts
When visitors leave comments on the site or post to the website’s forum, we collect the data shown in the comments form and forum posts, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. After approval of your comment, your profile picture is visible to the public in the context of your comment and forum posts.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

When visitors complete forms on the site we collect the data shown in the specific form, and also the visitor’s IP address and browser user agent string to help spam detection. Some forms are powered by Forminator. By default data collected by Forminator is stored indefinitely on FRCS’s website, but in most cases FRCS deletes data after one year. Some registration forms take users off the frcs.org website. Information about data collected from those forms can be found in the privacy policies for those specific websites. Some data collected from forms may be shared with the school’s instances of other services, including G Suite (Google Workspace, including Docs and Sheets), FACTS SIS, ActiveCampaign, and Salesforce. Data collected is intended solely for the use of FRCS and is never sold to third parties.
Cookies
If you leave a comment on our site or post to the forum, you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies last for one year. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Email communications
If you wish to unsubscribe from our email campaigns, please click on the Unsubscribe link at the bottom of any marketing email sent from us. Please note that if you opt out of our email marketing, you will no longer receive email from the Communications Office via ActiveCampaign; we will still send you messages specific to school business through FACTS SIS.
Analytics
We use Google Analytics to collect and monitor user activity on frcs.org in order to improve the website. Google Analytics utilizes a cookie that tracks a user’s interaction with our website, including the web page or search engine that brought a user to our site, the pages visited, and the user’s exit point from our site. Who we share your data with

Data collected on our website, including data submitted via web forms, is used only by the school. Some data collected from forms may be shared with the school’s instances of other services, including G Suite (Google office products, including Docs and Sheets), FACTS SIS, ActiveCampaign, Constant Contact, and Salesforce. Data collected is solely for the use of FRCS. Please note that any monetary transactions take users off the frcs.org website to third party payment processors. Please refer to the specific privacy statements on those websites for information about the data they collect, share, or store.

How long we retain your data

If you leave a comment or post to the forum, the comment/post and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments/posts automatically instead of holding them in a moderation queue. For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Data collected via forms on our website may be stored indefinitely, depending on the nature of the data or it may be stored only as long as it is needed to complete the “transaction” associated with the form (e.g., registration information may be stored only through the date of the event).

What rights you have over your data

If you have an account on this site, have left comments, or have completed a web form, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
